Privacy Policy

01 What we collect

We collect personal information that is reasonably necessary to provide the Services, including:

• Account information — your name, email address, business name, and password (stored securely, never in plain text).
• Billing information — plan, billing cycle, and transaction records. Card payments are handled by our payment provider; we do not store full card numbers.
• Content you create — job details, room photos and inputs (Kelvyn), voice recordings, transcripts and reports (Tradox), and the addresses or sites they relate to.
• Location data — GPS coordinates captured with reports where you enable it.
• Usage & device data — how you interact with the Services, plus technical data such as IP address, browser and device type, and log data.

02 How we collect it

We collect information directly from you when you create an account, use the Services, or contact us. Some technical data is collected automatically through cookies and similar technologies (see section 09). Where it is reasonable and practicable, we collect personal information directly from you.

03 Why we use it

We use personal information to:

• provide, operate and improve the Services and generate your outputs (load calculations, reports);
• manage your account, process payments and send service-related communications;
• provide support and respond to your enquiries;
• maintain security, prevent fraud and abuse, and meet legal obligations;
• with your consent, send product updates and marketing (you can opt out at any time).

04 Photos, voice & location

Because of what our tools do, some Content deserves a specific note:

• Photos (Kelvyn) are used to estimate room loads. Take care not to capture other people or sensitive information you do not have the right to collect.
• Voice recordings (Tradox) are processed to produce transcripts and reports. You are responsible for any consents required before recording other people.
• GPS & timestamps are attached to reports to support their integrity. You control whether location capture is enabled.

This Content may be processed by trusted AI providers solely to deliver the feature (see section 05). We do not sell your Content.

05 Who we share it with

We share personal information only as needed to run the Services, with providers who are bound to protect it:

• Hosting & infrastructure — to run and store the Services.
• Authentication & database — to manage accounts and store your data securely.
• AI processing — to generate transcripts, reports and analyses from the Content you submit.
• Payment processing — to handle subscriptions and billing.

We may also disclose information where required by law, or to protect our rights, users or the public. We do not sell personal information.

06 Overseas storage

Some of our providers may store or process data outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles. By using the Services, you acknowledge that your information may be processed overseas.

07 How we protect it

We use technical and organisational measures to protect personal information — including encryption in transit, access controls, and secure infrastructure. No system is completely secure, but we work to protect your information and to respond promptly to any data breach in line with our obligations under the Notifiable Data Breaches scheme.

08 How long we keep it

We keep personal information for as long as needed to provide the Services and meet legal, accounting or reporting obligations. Some Tradox plans offer long-term report retention (for example, multi-year storage) — that data is kept for the period associated with your plan. When information is no longer needed, we take reasonable steps to delete or de-identify it.

09 Cookies & analytics

We use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Services are used so we can improve them. You can control cookies through your browser settings; disabling some cookies may affect how the Services work.

10 Access & correction

You have the right to access the personal information we hold about you and to ask us to correct it if it is inaccurate. You can update most details from your account, or contact us at privacy@valdryss.com. We will respond within a reasonable time, and let you know if we are unable to meet a request and why.

11 Complaints

If you believe we have mishandled your personal information, please contact us first at privacy@valdryss.com so we can investigate. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

12 Changes to this policy

We may update this policy from time to time. We will post the updated version here and change the "last updated" date above. If changes are material, we will take reasonable steps to notify you.
